Why Questionnaire Validation Matters in Thesis Research
Many international students, especially those new to empirical work, treat the questionnaire as a formatting task — type the items, share the Google Form, collect the responses. Unfortunately, examiners in the UK, US, Australia, Canada, Malaysia, and the Gulf region now expect a clear validation trail. Questionnaire validation in a thesis is no longer optional; it is a default expectation for any quantitative or mixed-methods study. Without it, your viva voce will surface uncomfortable questions: How do you know this item measures what you claim? Why these scale anchors? Where is your pilot evidence?
Validation matters because it answers two distinct questions. Validity asks whether the questionnaire actually captures the construct — does your "job satisfaction" scale really measure job satisfaction or is it accidentally measuring engagement? Reliability asks whether the questionnaire produces stable, internally consistent scores across respondents and time. A questionnaire can be reliable without being valid, but it cannot be valid without being reliable. Both must be reported.
Step 1: Anchor Every Item in a Construct Definition
Before you write a single item, write a one-paragraph operational definition of every construct in your conceptual framework. If your study has five constructs — for example, perceived usefulness, perceived ease of use, attitude, intention, and actual use — you need five definitions, each cited from the literature. Step 2: Write Items That Respondents Can Actually Answer

- One idea per item. "I find the system useful and easy to use" is a double-barrelled item — split it into two.
- Plain language. Replace academic vocabulary with the words your respondents use. Read every item aloud; if it stumbles, rewrite it.
- Avoid negation. "I do not feel unsupported" forces a double mental flip. Rewrite as a positive statement and use reverse coding only when you genuinely need it.
- Match the scale to the construct. Frequency questions need frequency anchors (Never → Always). Agreement questions need agreement anchors (Strongly Disagree → Strongly Agree). Mixing them on the same scale confuses respondents.
- Five or seven points, not four. A neutral midpoint is usually better than forcing a choice, unless your theory specifically demands it.
- Keep the questionnaire short. Sixty items is a reasonable upper limit for a postgraduate survey. Beyond that, response quality collapses.
Step 3: Establish Content Validity With Expert Reviewers
Content validity is the first kind of validity an examiner will probe. The standard practice is to send your draft questionnaire to 5–10 subject-matter experts and ask them to rate each item on a four-point scale (1 = not relevant, 4 = highly relevant). From these ratings you can compute the Content Validity Index (CVI) at item level (I-CVI) and scale level (S-CVI). An I-CVI of 0.78 or higher per item and an S-CVI/Ave of 0.90 or higher are the commonly cited thresholds.
If you are conducting cross-cultural research — a Gulf-based researcher studying a US-developed scale, or an Indian student adapting a Western instrument for South Asian respondents — you also need cultural validity. Translation back-translation is the standard procedure: forward translate the items, have an independent translator translate them back to English, then reconcile differences. Document this process in your methods chapter; it is a strong viva talking point.
Step 4: Run a Proper Pilot Study
The pilot is where most thesis questionnaires fall apart, and where most students cut corners. A pilot is not "I sent it to my friends." A defensible pilot has 30–50 respondents drawn from the same population you will sample in your main study. Run it as if it were the real thing — same recruitment channel, same incentives, same instructions.
From the pilot data you should produce three things:
- Cronbach's alpha for each scale and subscale. The conventional threshold is α ≥ 0.70 for established constructs. Anything below 0.60 is a serious problem; anything above 0.95 suggests redundant items.
- Item-total correlations. Items correlating below 0.30 with their own subscale should be flagged for revision or removal.
- Qualitative feedback. Add an open-ended box at the end of the pilot asking respondents which items were unclear, ambiguous, or missing. This catches problems no statistic will reveal.
Document everything. Examiners love a clear before-and-after table showing which items survived the pilot, which were revised, and which were cut.
Step 5: Confirm Construct Validity With Factor Analysis
Once the main data is in, confirm that your items load on the factors your theory predicts. Exploratory Factor Analysis (EFA) is appropriate when you have adapted a scale into a new context or when the underlying structure is uncertain. Confirmatory Factor Analysis (CFA) is the correct choice when you are testing an established model with an a priori factor structure.
For EFA, report the Kaiser-Meyer-Olkin (KMO) measure (≥ 0.70), Bartlett's test of sphericity (significant), the rotation method used, and the loading threshold (commonly 0.50). For CFA, report the standardised factor loadings, composite reliability (CR ≥ 0.70), average variance extracted (AVE ≥ 0.50), and model fit indices (CFI, TLI ≥ 0.90; RMSEA ≤ 0.08; SRMR ≤ 0.08). Include a complete questionnaire as an appendix, with reverse-coded items marked. State exactly which items you removed and why. Transparency is what protects you in the viva.
